Managing Memberships on Alpha Flow

Whenever a membership is purchased or sold, it is listed within the membership type on the Memberships page. See the support article on Creating Membership Types to learn how to create a membership. 


From here you can edit a memberships expiry date, transfer it to another customer or view the Audit log of a membership. Memberships are listed by membership number with their purchase date and expiry date, the customer's name and their email address. It will also show how the name of the user who created the membership or show "Web Booking" if it was purchased online. 

 

 

Selling a Membership


Memberships can be sold from the Point of Sale. Before selecting the membership, you must first add the customer profile to the bill by clicking the Select Customer button (A). You can then search your customer database or create a new customer from here. 


 

Once you have added the customer to the bill, you can select the membership type and take payment as usual. Once the bill has been paid, a membership number will be allocated to the customer (and shown on the bill) and you can send confirmation of the membership to the customer (B). 



To view your memberships, head to the Memberships page, select the membership type and the list of memberships will be shown. Click on a membership number to access that particular membership. The membership type and number (C) will be shown at the top of the screen and who sold the membership, just above the audit trail (D). 



Transferring a Membership


If membership has been added to the incorrect profile, you can transfer it to a new customer profile by going to the Memberships page, select the membership type and clicking on the membership number to access that particular membership. 


Click the "Transfer Membership" button and then search for the profile you would like to transfer this membership to. When happy, click the Transfer button. 



Updating a Membership Expiry Date


If you need to extend or reduce a memberships expiry date, go to the Memberships page, select the membership type and click on the membership number to access that particular membership. 


Click on the Expiry date and select a new date. If you chose a date in the past, the membership will immediately expire when updated. If a membership has already expired, updating it to a date in the future will reactivate it. 


Any changes made to a membership will be shown in the Audit log.
