The Memberships screen allows you to set up various types memberships to offer your customers. All memberships currently start as soon as they are purchased and can be for a specific time period with a configurable end date. Memberships can be set to apply to different venues (if applicable) and you can define the types of membership that you want to sell on the Point of Sale and optionally also on the web shop. Members will automatically receive a discount based on the promotion(s) that have been linked to the membership when making a purchase online. The discount can be manually added when making a booking through the Point of Sale.
Before you can start to set up the types of membership you want to sell, you will need to set up:
- One or more membership purchase confirmation email template(s). Please note that these templates apply to all venues.
- One or more promotions (per venue) to define the discounts you want to apply to the members.
Note: If a membership is purchased on your webshop, it will also send the Webshop Purchase Confirmation email template (which is also used for Voucher purchases) so make sure the wording is appropriate for memberships as well as other webshop purchases.
To manage your Membership Types, go to the Memberships page from the menu on the left. This screen shows all of your current memberships types and allows you to create new ones. To learn more about managing your memberships, please see the Managing memberships article.
To create a new membership type, click the Add membership type button at the top of the screen.
To edit an existing membership and view the memberships that have been purchased for that type, click on the membership type name.
Your membership will need a Name and a description which will be used in the product list in emails. This is not the description shown on the webshop.
You can then set the price of your membership and the membership confirmation email to use once the membership has been added to a customer's profile.
Each member will get a unique membership number. This can be prefixed with a letter and/or number combination and can be set to a specific length. For example, if you want all memberships to start with 24 followed by 3 numbers you can set the number of digits to pad to 3 so you get 24001 instead of 241.
Memberships can have one of four expiration types:
- No expiry - lifetime membership
- Fixed expiry date - expires on the date set
- End of the calendar year - please note that memberships bought in December will follow on into the next year and expire on the following 31st of December
- Interval (from the date of purchase) - you can then set the number of years, months, days or even hours and minutes.
You can select which venues this type of membership will apply to. You can then choose which venues and websites the voucher can be sold at, and which promotions will be used to apply membership discounts at each venue.
You can add as many promotions as you want for each venue, however only a single promotion will be automatically applied to the customer when making an online booking, this being the one that gives the customer the cheapest price on their purchase.
If you are selling your membership online, you will need to provide some product information which will be displayed on the webshop.
You must then create a Tag to label your customers with. This will be a new unique tag that does not exist already. You will not be able to apply tags to members manually, they must be added to customers via the Point of Sale.
Set tax rate and then if required the Accounting Category, Accounting Department and Nominal Code.
Finally, add the product image and membership images. The Product image will show on the Point of Sale and the Webshop and the Membership Image can be included in the Membership confirmation Email.
When you are happy, click Save to create your membership or save any changes.
