Reports on Alpha Flow

The Reports Module allows you to create various reports out of the data in your Alpha Flow system. 

You can create and run custom reports for the System relating to: 


Click on one of the reports above to learn more about what they relate to and the data columns included.


You can find these by clicking Reports in the menu on the left. Click the View button to view the options to run the report on click on the name of an existing report to edit it. To create a new report click the New Report button in the top right.


Creating Reports

When you create a new report you need to choose a report type from the options shown above. Give the report a name and a short description to explain what the report does. This will be helpful for others who may use this report. 


Copying a Report

You can copy an existing report if you are setting up a similar report or want to change something on an existing report that you don't want to lose with the existing report.  


Setting the Data to Collect

When you create a report you can choose which data columns to include depending on the report type. Click on the report types above to see which data columns are included and what information that relates to. 

You can then give them a custom name in the Heading column i.e. to help match any accounting software you might use. Ticking the Total box will show the total for that column while the Summarize box will group the same items together in that column instead of itemising them separately.  

You can also sort the order of the columns by putting a number in the Sort box for each relevant column. If the drop down is set to Ascending the lower number appears first and if set to Descending the lower number appears last.

To delete a column you no longer need press the red X and use the blue arrows to move a column up or down (or left and right when viewed) of the report. 


Filtering Reports

You can then add filters to your reports to only show the data you need. You can choose whether a filter is available by clicking the Selectable tick box. 

You can also set the default value to choose for the filter by changing the dropdown under the Value heading. If you make a filter selectable i.e. Web Booking (Awhen you run the report you can choose whether to run the report filtering to just web bookings or all bookings. If you cange the dropdown from <no default> to a specified value i.e. Only cancelled (B) then the report will only filter to that value i.e. This report will filter to bills that have been cancelled. 


Visibility and Report Permissions

You can specify which users can have permissions to view and run the report and those who are able to change the settings of a report. If you no longer need the report and wish to hide it completely you can tick the archive box.
