The Event Details screen allows the event parameters to be set, various reports printed and tasks performed. The screen is divided into four sections.
Event Details section
The top left Event Details section allows things like the event start and end date, Event name and track layout to be changed. The default report header and footer are configured on the promoter settings screen, but can be changed for an individual event on this screen. This allows a special header or footer to be used for a specific event.
There are also options for the results website upload. If the "Publish results to web" slider is set to Yes then when the results are issued they will posted on the Results website for that promoter. Setting it to NO will not publish any results. Each event has its own unique event code, which can be any 4 to 5 digit alphanumeric code. Typically if the event is part of a championship, this will be the round number. You can set your own results code, but it must be unique otherwise previous results will be overwritten. You can click the Generate button to make a random unique code.
If you set the "Show in website events list" slider to Yes, it will shown in the list of events for that promoter. Setting this to know will remove it from the list, but the results can still be access if using the link or when selected from the Racehub app.
There are then some tick boxes on whether to show:
- the schedule start times from the Timing app on the results website
- the total race time in the results on the website (laps are always shown).
- the notifications i.e. from an eFlag e.g. Warnings, Mechanical Flags etc.
The URL for the page on the results website for this event will also be shown with a convenient copy button.
Depending on your type of event or race, there is a competitor type setting, a primary timing device and whether it is a Team event.
Competitor types
- Individual - Competitors are competing as themselves (typical sprint or time-trial events)
- Team - Competitors share a vehicle and are scored based on the vehicle's results
Primary Timing device (Owner driver only)
- Transponder is the primary passing to count.
- Photocell is the primary passing to count.
For Rental Karting there are additional options for kart assignments and photocells are not used.
- Manual - The karts are assigned manually by the timekeeper for each session.
- First Loop passing - The karts are assigned as competitors river over a timing loop in the order they appear on the grid screen i.e. the driver first in the grid list will be assigned to the kart that cross over the timing loop first.
This can be linked to a competitors Kart usage
- Different kart each race - this means the karts will need to be assigned for each session
- Same kart for all races - this means the karts only need to be assigned for the competitors first session, and they will stay assigned to that kart for the remainder of the event.
If the Team Event slider is set to Yes, then each competitor can be assigned a team. These teams can then be used in a Merge, to create a Teams Leaderboard that will compile the results of each competitors of the same team to give a team score.
The qualifying time percentage threshold can be set here if different to the deafult. This is used when a grid is generated from the result of timed qualifying sessions. A warning will be shown if there is more than the configured % difference between the best laptime in both sessions. It will also offer options to change the way the grid is calculated i.e. fastest session first or Row by row fastest. This can be used where two qualifying sessions are run but conditions change significantly between the two sessions.
The event officials can be set here if not using the Alpha Incident Management System. Select the role and event staff from the dropdown to load the officials from the Promoter settings.
Classes
Below the Event Details section the Classes section. This section allows the class details to be amended, including which championship corresponds to this event, and to add any classes not included when the event was initially created. Click the "+Add class" button to manually add a class or tick the pencil icon next to an existing class to edit it.
Reports
On the right hand side is a list of reports that can be printed. The following reports are available by clicking the relevant button in this section:
- Competitor List
This will print a list of competitors in the event, split by class. - Heat Grids
This gives you the option to print the grids for all heats/races or just the remaining heats/races. These can be full grids (each race to a page) or a summary grid (all grids on one page). - Session Results
This will print the results of all the sessions that have been issued. - Competitor Results
This will print a report for each competitor and can be restricted to each class and a particular session(s). You can also choose whether to show the results in order of finishing position or numerical order and whether to remove sector times. - Event Best Laptimes
This shows the competitors best laptime over the whole event. - Hired Transponders
This report is only used for Club racing to show which competitors have hired a transponders. - Trophies
The trophy report can show you which competitors are to be awarded a trophy. You can specify the number of positions to offer trophies and include one for best laptime in class. - Bumper non compliance
If running detachable front fairing, you can print a bumper non-compliance report to simplify the scrutineering team’s task of identifying those drivers with detached fairing. - Event Schedule
The event schedule will print of the session list with their approximate start times. - Penalties
This gives you a report of all penalties issued in the event. - Notifications
After selecting the required session(s) will produce a report of all messages displayed on the eFlag.
Tasks
The bottom right section shows a set of tasks that can be performed by clicking the relevant button in this section:
- Adjust session start times
Once the sessions have been created, the session list order can be changed by typing in a new time or can be dragged up and down into the correct order and the system will adjust the start time accordingly. - Adjust Session Durations
This will allow you to clickily change any untimed session(s) duration. They can be changed en masse i.e. all Finals at the top of the list, or by each individual session. - Set Race numbers
If you have multiple heats or races in your session list you can re-number the races here. - Upload Results
Results are uploaded automatically when issued, however if you wanted to do it manually or hide a specific session, you can do this here by unticking the session.It also gives you the ability to save the .json file that is sent to the results website. See below on how to create a .csv export.
Note: Changes to the Event Name/Code here are not saved to the Event Settings, so can be used for creating duplicate result pages.
- Export results
This creates a .csv (Comma Separated Value) file of the issued results. - Export FIA IKR Results
This creates a .csv (Comma Separated Value) file that can be uploaded to the FIA's International Karting Ranking database. - Complete Event
This will complete all of the sessions in an event and send the Results email to competitors (Rental Karting). - Import Competitors
This allows you to import a competitor list from a .csv file to the event.
