Importing a Club Event

To start the import, click on the relevant box in the top section of the home screen. If your event is not shown hit the Reload button to check again, or click Advance search to change the date range the system checks for imports. 


If you have an file exported from the Club Management System (CMS) click Import from file and search for the file on your PC. 


This will bring up the import event panel. Before you proceed you will need to check:

  • The track
  • Check the date and start time (this should be the start time for the first practice session)
  • If this is a championship round, enter the round number, otherwise unselect the championship round slider.
  • Check the result event code – this is needs to be unique across all events for a particular year, and will default to the championship round number.

The lower section shows the classes to be imported. Next to each class is the mapped timing class (matched on class code) and the championship.  If the class code in the CMS does not match the timing class code, the class will not be populated, and will need to be selected manually.  If no championship exists, or more than one exists for that class, then the championship (or <none>) will need to be manually selected.  Finally, if your system has been configured for multiple track configurations an extra column will be shown to allow different track configurations to be specified on a class by class basis – this is used when different classes run on different configurations at the same event.

 

If classes are to run together they can be grouped by ticking the box next to each class and clicking the group classes button.  

Note: classes grouped when generating the grids will already be grouped. 

If classes are grouped, the group name can be changed (for example to shorten if very long) and the group type can be selected (either split or mixed). The class order on the grid sheets can also be changed by changing the values in the SEQ column.

Once all settings are correct, click the next button.


This will show the second import screen. Firstly, set the class order.  This is done by clicking on the class code or name, and using the arrows to move the classes up and down.


Next check that the format for each class is correct.  If you require additional templates please contact Alpha timing.


If one or more classes require heats, but they were not generated in the OMS, then you will need to enter the number of heats for each relevant class.


Enter the number of emergency practice sessions to create (these are additional practice sessions after the main class practice sessions for use by drivers who did not complete the minimum mandatory laps in their practice sessions.


Finally, the session durations can be set.  They will default to the pre-configured values but can be changed as required.

Once all values are correct, click the Finish button to create the event.
