Creating Membership Types on the Club Management System

The system allows you to create multiple memberships for your club. Each membership can be for a specific season or more, with its own start and end date. You can also define the format for the membership and add an optional image for display online. This means you can sell memberships for your next season while the current season is still in progress. 


You should not edit an existing or previous membership to convert it to a new season's membership, as this will update all the memberships bought with that membership types. New memberships for a new season need a new membership type created from sc


Creating or Editing a Membership


To create your Membership Types, click Account in the settings menu and select the Membership Types tab at the top of the page.

Click on an existing membership to edit it or click the "+New Membership Type" button to create a new one. 


Give your membership a name and set the maximum number of times can be purchased. Generally this should be set to one, unless you offer weekend memberships which only exist for a specific event or weekend therefore you might want to put a maximum number of times.


Set the Price for this membership and choose whether to apply VAT to the price. 


If you need to classify your membership income with a special accounting code on the financial reports you can add one here.


You can specify whether the membership is for members who partake in racing. Only Racing Members can reserve race numbers and appear as a member in the timing system. 


You can then also set whether this membership reserves race numbers for a particular class. You can then also set which season(s) the number reservations apply to. 

You can set whether this membership can be purchased online and provide a brief and/or full description of the membership they are purchasing. You can also add an image to go alongside it. 

You can then define how the memberships expire for this particular membership type. These can be:

  • Expiry on Date - This memberships expires on a pre set date. The membership can start from a specific date or start from the day of purchase. 
  • Never Expires - This membership can start from a specific date or start from the day of purchase and will never expire. 
  • Duration - This membership expires after a set amount of years, months or days. It can start from a specific date or start from the day of purchase.
  • Event / Weekend - This membership is allocated to a particular event of a competitor's choosing, at the time the competitor enters that event. You can optionally specify the number of days before and after the event that the membership applies to. You may wish to do this in order for the membership to apply to all events in a weekend, not just the one event itself. Otherwise this membership will start from the date of the event. 

You can then define the format for your membership numbers by adding a membership number prefix

to specify the number of digits to use. e.g. 3 if you want numbers to be formatted as 001

Now that you have a membership type it can be used by people in your club. If you have selected "Can buy online" the membership will be available to purchase to anyone who registers with your account. Each membership will be listed on the Membership page in the Manage menu (under People) and will be shown on each person profile. You can edit and manually create memberships from people's profile by clicking the Memberships tab.
