Advice for Managing Teams

Modified on Tue, 31 Jan 2023 at 05:29 PM

For team based events, Team Captains can add and remove competitors to their team, even after they have entered. The Team Captain is the person who makes the entry on behalf of the team, but they do not need to be a competitor. The Team Captain should not change throughout the season unless done so by the Club or Competition secretary. If a different person from Round 1 enters the team into Round 2 the system may think this is a separate entry and therefore new team. So only change the team captain if absolutely necessary.

You should NOT add a person to your Alpha Profile who is a team mate or co-driver. Only drivers or riders you manage should be added here if they do not have their own Alpha Account i.e. a child or under 18 as you will be legally responsible for their signing on and payments.

Adding Team Mates or Co-drivers should be done at the time of entry by the Team Captain or they can be invited via a unique link afterwards, removing the need for you to know the person’s email address, specifically the one they use for Alpha.

If you need access to manage a competitor who already has their own Alpha account please speak to your club.

When the Team Captain logs in to the Club’s Alpha page, they will be able to manage the Team entry and Team Members from the entry. Click on the My Events button under the Manage menu.

You will see a list of all the events you are entered into. Look for your Team's Event and click the View Event button.

The event will show all of the Team Captain's entries for that event, and under each entry you will see a Manage Team button (see image below).

Clicking the Manage Team button will show them all of the entered Team Mates, their signing on status and the appropriate controls to remove or add new drivers.

To add a Team Mate, click the +add Driver/Rider button. Invitations to join teams use a unique link that can be copied using the copy button and  sent to a driver via email, Messenger or WhatsApp etc.

You also have the option to add Team Mates you have previously competed with by selecting them from the dropdown. These team members then do not need to be sent an invitation link.

When a Team Mate has been added you will then see a list of your team mates plus any status flags depending on whether the event has Digital Sign-on etc.

If  you have added a Team Mate in error or need to remove someone, click on their name in the list. You can then click the Remove button to remove them from that entry. If the person has signed any declarations however, these will also be deleted. For example if that driver or rider was then added to another team, they would then need to sign on again with the new team.
