How to capture and show Race Team data

There are a few steps involved in configuring and collecting Race Team data from your competitors, and this guide explains how to set all of this up. Once done, race teams will automatically show on your results. 


Enable Race Teams


Head to Settings > Race Teams to see a complete list of race teams available to you. Each country has its own list of teams, so if your club/series is in the UK then you'll see UK teams, if you're in the US, you'll see US teams, and so on.


You've got complete control over which teams can be selected by your competitors.


Teams you've already enabled will have a green 'Y' (Yes) icon in the 'Competitor can select?' column. 


Click on a Team Name to see more details about them, including their contact details and logos.


To make a race team selectable by your competitors, click the team's name to open their profile. Then, click the 'edit' button and tick the 'competitor can select' checkbox to enable it. Finally, click the blue 'Update Race Team' button to save your changes. 


Please note: If you're running events under a Motorsport UK permit, race teams will only be selectable by competitors if Motorsport UK have issued them an entrants licence. 


Collect a competitor's race team


Once you've enabled at least one race team, you'll need to give your competitors the ability to select their race team when they're entering. To do this, you'll need to update your event entry form.


Head to Settings > Account > Form Builder to see your list of entry forms, and click the name of your event entry form to open it up and make changes. 


Use the '+ new field' button to add a new field. Select 'Race Team' for the 'Field Type', and then customise the field name and explanation text as you need.


There's an option 'field modifiable after entry' which you could set to 'yes' if you'd like your competitors to be able to update their race team after they've submitted their initial entry. This might be useful to you if you take entries a long way in advance of your event, or if your competitors are likely to change team. 


Set the slider for 'Show on public entry list?' to 'yes' and your race teams will be shown on the public entry list for each event. 


Use the blue 'Save Field' button to add your field to the form.



When you've added the Race Team field to your entry form, click the blue 'Save Changes' button at the bottom of the screen to save the changes to your form. Once done, the option to select a race team will immediately be available to any competitors entering your event. Teams you've approved will be available to select, as will the option of 'Privateer.'


Remember: If you're running events under a Motorsport UK permit, race teams will only be selectable by competitors if Motorsport UK have issued them an entrants licence. 


How to add a new race team?


You can only enable teams on your account if their details have been added to the system. Team managers can add their details at [clubname].alphatiming.co.uk/register/companies and we've got a guide which explains this process in more detail here.


Why is a team missing?


If a specific team is not available to competitors to select, please check the following:


  1. Does the team exist? If they don't show up under Settings > Race Teams, ask the team manager to add their team to the system.
  2. Have you enabled the team to be selectable by your competitors?
  3. If your governing body is Motorsport UK, have they added the team's entrant licence to the system?
