Online Booking Website Settings for Alpha Flow

When your customers use the Alpha Flow link they will leave your website and are directed to the Alpha Flow booking portal. There are several pages that can be configured so the Alpha pages match your own branding. 

General Settings 

The General Settings configures the template that the rest of the sections will be contained in. 

Give your site a general name which will only be used internally.

Ticking the Archived box will hide your website but it may still be shown if connected to a resource.

The public Site Name is the text that appears at the end of the http://flow.alphatiming.co.uk/ URL. It must be unique and cannot not be the same as other Alpha Clients.

Tick which resources this website applies to.

You will need an image for the background (1200x800 px recommended) plus an image (preferably with your logo) to go at the top of the page (900x120 px recommended). 

The booking portal is contained within a coloured box of your choice. You can also modify the opacity of the box. In the example on the right we have used a Navy colour, but set the opacity to 90, meaning it is slightly transparent. We have then set the panel's text colour to white.

You can then chose the colour of the button’s text and background. In this example we are using light blue buttons with white text on the buttons to match the panel.

Finally choose between having the Cookies consent to be shown as banner or an overlay on your website. 

The image of the screen shown below as an example of the settings used here on the right. This is the first page a customer typically sees when they visit your unique Alpha Flow link. 

Online bookings

You can also configure the settings for the bookings made online like the no availability message. This is shown when the customer selects a date or activity that is unavailable. 

If the booking is successful, they will be given a confirmation message and sent a booking confirmation email. Create the email template and select it in the drop down here.

You can then write the content for your booking confirmation page. Just like the emails you can use the data tags to pull information from the system and insert it into your page.

You can then choose the colour of the button’s text and background to show when a slot is available in the diary and the colour of the button’s text and background to show when a slot is NOT available in the diary.


If you tick the Show Arrival Times box this will show the arrival time for the booking. The arrival time is set in the resource.


If the chosen date and/or activity is full or unavailable on that day the system can suggest alternative dates. You can configure a message for that here.


If you charge a booking fee for online bookings this can be chosen from the drop-down menu here.

You also have the option to collect information from the customer. This will then create a customer in your customer database. To make the information compulsory tick the “Required” box.


On the online booking page you can create a banner that appears above your available activities (and below your header image).  This can be used to advise customers of periods of closure due to maintenance etc. Leave it blank to remove it from your site. You can use the clear button to remove any information you have entered into the banner box. 



 

Online Registration

In the last few sections, you can configure the landing page, participant page and booking confirmation page for registration. You will also need to configure a Kiosk for registration too. 

The Landing Page is the first page a customer goes to when they click on the Registration Link to fill in their details.  If a user has registered the system will recognise the customer and may confirm this with a Post Code check. If not, the customer will need to complete the registration form.

The next page that loads is the Participants Page. Depending on the type of activity booked, and the participants in the activity, there will be several options on how the customer can register participants.

  • They can register themselves
  • Register just their children
  • Register both themselves and their children.

After the registration forms are submitted the Briefing Page and Video (if applicable) will then load, followed by your Terms and Conditions (configured in your Venue Settings, see Terms).

When the registration is successful the Registration Confirmation Page will show.


Payments Page

The final page is the payments page where you can direct your customers on where to pay.


Clicking the button to pay online will direct customers to your configured payment gateway site. The text for the button can be entered here. See Payment Methods here to set this up.


Below your template you will see a Preview of how the page will appear to customers.
