Digital Declarations

Modified on Wed, 1 Mar, 2023 at 1:25 PM

Digital Declarations are statements that are electronically signed and agreed by entrants that they acknowledge the risks involved in their participation. Declarations can also be used when signing scrutineering cards.

The Alpha system comes pre-built with MSUK Declarations (and some others i.e. Auto Cycle Union) but other clubs may need to add their own wording.

To do this, in the settings menu click Digital Declarations. To create a declaration click the blue + New Declaration button or to view and edit an existing declaration click the View Details button.

For a new declaration you need to choose the declaration type. Once you choose a declaration type it cannot be changed.

Step 1: Give your declaration a name and select the Licencing Body (if applicable). You can then put in some wording for the entrant to sign.

Step 2: Choose which sport type and the role of the entrant required to sign. For scrutineering declarations only the competitor can sign. Then click the Update button. After you have edited an existing one you will see an updated version number at the top of your declaration plus a date and time stamp of the user who edited it.

Step 3: Next you need to add some fields and rules for the person signing. Click the "+ add person to sign" button.

Here you can set the labels to use on the form i.e. Entrant, Driver, Rider etc that best fits your club. You can also choose to make the person signing it optional i.e. for a parent or guardian to sign if the competitor is under a set age.

There is also the option to add Licence details, Emergency contact information plus six further customisable fields. You can then set whether you wish to have a Acceptance tock box, Signature panel or both.

You can optional add six custom fields to the Signing on form if required too. The competitor can then respond with free text answers, picking from a list or a Yes/No option.

Once you have created your required options, click Create/Update Signature Item.

Repeat Step 3 for any further people who may need to sign the declaration.

Once you have created a Signing On and Scrutineering Declaration you can then add them to your event via the Signing-on Page when Editing an Event:
