Scrutineering

The system allows for competitors to enter their Kart and Equipment into an online Virtual Garage. They can then submitted these items onto the Alpha Digital Scrutineering Card. These Virtual Garages are used at many clubs that use the Alpha system and so the information stored in the Virtual Garage can be used on any club that uses the Digital Scrutineering.


Classes Setup

Before you can use the scrutineering you need to define which parts of the entrant’s equipment is to be scrutinised and the quantities they are allowed to submit for scrutineering in the Class's Equipment Configuration settings


Your account also needs to have an equipment register connected (i.e. MSUK, IKR, ACU). Please contact support if your account does not have an Equipment Register and you cannot see the Equipment Configuration at the bottom of your Class settings:


Equipment

In the Equipment settings (on the Account Settings page) you can add custom fields to your equipment register that will be recorded on the scrutineering card e.g. extra engine seal numbers or cubic capacity. 

If a chassis, engine, oil, tyre or any other component is not listed i.e. Shell oil, please contact the Alpha Support Team so it can be added.


Declarations

Once you have set up the Class Equipment and added any custom fields as necessary you will need to set which declarations a competitor must use to sign-on with and agree to on their scrutineering card. MSUK Clubs will use the MSUK declaration but other clubs may need to create their own Digital Declarations.



Adding Scrutineering to an Event

Once you have configured Equipment in the Class Settings (and created your declarations for non MSUK Clubs) then you can use the system’s digital scrutineering.


To do this go to your event and click Edit at the top and then Scrutineering.


Set the "Enable Digital Signing-on" slider to YesClick the +New Event Declaration to add a scrutineering declaration to this event. 

Select the role, i.e. Competitor and then the Declaration from the available options. If no options are available make sure you have correctly created a Scrutineering Declaration in the Digital Declarations section of the system or that your account is connected to a licensing body i.e. MSUK. 


You will be shown a preview of the Declaration it will use, and if you're happy click Add Event Declaration. 


Competitors won’t be able to add items to their scrutineering card until scrutineering is open. You can manually open Scrutineering by setting the Digital Scrutineering slider to Open. You will also need to CLOSE your scrutineering before the scrutineers can perform their checks. To close scrutineering set the Digital Scrutineering slider to CLOSED.


You must remember to this when you want to start scrutineering equipment otherwise entrants will be able to change their submissions until scrutineering is closed. Therefore we strongly recommend you set it to close automatically. To do this you must put a number in the days box for the number of days before the event you want it to close. Use a zero in the days box to close on the day of the event. 

When done click the blue Update Event button. You can then check the settings you have used by looking at the Event Info on the right and side of your Event page. Competitors will be able to see a countdown to when scrutineering closes on their Event Entries. As it gets closer to closing the countdown timer will start to flash red.
